For those of you who play at Council venues, you may notice something different has happened to your pitch!
Approximately 60 ton of sand has been spread across each pitch together with thousands of spike holes!

At a special Management Committe Meeting held on Tuesday 10th July 2007, it was decided that all clubs using council pitches as their ground will be personally responsible for securing a pitch for their game. This is a departure from last season and will be effective immediately. All the league fixtures are now out, so get your pitch booked now.

BE REFUNDED.

IF AVDC HAS TO CANCEL A BOOKING, ANY PRIOR PAYMENT WILL BE CARRIED OVER
TO YOUR NEXT BOOKING OR REFUNDED.

1. In these conditions the expression “the hirer” shall include in addition to the person whose signature is on the form of the application for the hirer of the All Weather Pitch / Sports Grounds, the Association, Club or Body (if any) on whose behalf such person shall purport to act. The expression “Pitches” shall include facilities for changing accommodation, accommodation for spectators and such other facilities as may be included in the hiring.
2. All applications for the hire of the All Weather Pitch / Sports Grounds must be made in writing on forms obtained from AVDC, and submitted forty eight hours prior to the event, stating the purpose for which the accommodation is required. The Council reserves the right to refuse or cancel a letting to any person.
3. When applications are made for pitches the hirer must pay the full fee as specified in the price list no later than forty-eight hours before use unless the hirer has agreed to make settlement against a monthly invoice sent by the AVDC Finance department. The hirer shall also pay for any extra time taken over the booked period and for any damage done during the period of hire. If payment is not received promptly, bookings may become void and may be re-booked by other customers.
4. In the event of the hirer wishing to cancel a booking s/he will be liable to pay the Council the full hire charge unless the hirer informs the council at least 2 full working days prior to the commencement of the booking. For a weekend booking this would normally mean that notification of cancellation must be received no later than the end of the working day on the Wednesday prior to the booking.
5. The letting of pitches shall not be deemed complete and no public announcement or ticket issued until booking has been accepted by the council and shall receive the official receipt of the Council thereof.
6. The Council do not under any circumstances accept responsible in respect of any damage to or loss of any property, article or things whatsoever, placed or left at any of its facilities by or by order of the hirer.
7. The hirer shall comply with any reasonable requirement of an authorised person who is responsible for the enforcement of these regulations and conditions, and is required by the Council to prevent the use of any article, appliance or apparatus, and to prevent any event, exhibition or performance which s/he may consider objectionable or dangerous.
8. The Council reserves the right to cancel any booking by giving notice in writing to the hirer. At the time and in the event of so doing the Council shall return to the hirer any monies paid but will not be liable to the hirer for any loss or damaged s/he sustains out of any such cancellation.
9. The scale of the charges includes the use of the pitch together with such dressing accommodation and other equipment as is available and provided by the Council at the facility at the time of hire. Floodlights for the AWP are excluded from this facility for which there is an additional charge.
10. The Council do not take any responsibility with respect to sale or collection of tickets, the receipt of entrance money, or the taking checks or passes, or in respect of any loss or damage sustained by the action of any people for the time being in the hirer’s employment, or in any other way.
11. Every hirer for an event at which children will be present must satisfy the Council that a sufficient number of adults accompany them.
12. In addition to the matters set out herein the hirer shall comply with and observe the Bylaws and regulations provided for the general regulation of the user of the facility, copies of which are displayed on the premises and it shall be the duty of the hirer to inspect such Bylaws and Regulations and to acquaint him/herself with the contents thereof. Whether or not the hirer shall inspect such Bylaws and Regulations s/he shall be deemed to have made inspections and have under taken to comply with and observe the same.
13.
INSURANCE.
It is the responsibility of the hirer to effect whatsoever policy or policies of
insurance they may need to cover the risk to which they are exposed
arising out of, or by reason of the hiring. All clubs will require public
liability insurance in excess of £2,000,000.
Throughout these regulations
“The Council" means Aylesbury Vale District Council acting by and through
the District of Housing Health and Leisure or any authorised person
deputising. The All Weather Pitch refers to the artificial sports ground and
accompanying changing facilities at Meadowcroft in Aylesbury. The Sports
Grounds refer to any of the following sports grounds and accompanying changing
facilities, Alfred Rose Park, Bedgrove Park Bowlers Field, Edinburgh Playing
Field, Meadowcroft Grass Football Pitches and Walton Court/Hannon Rd.
Flags and Poles
Home teams will be responsible
for collecting, siting and returning flags and poles to the grounds man on
site, at the beginning and end of their match.
Hirer/team members are
requested not to wash their muddy boots or other items in the showers, sinks
or toilets. Failure to comply could result in the club being fined or refused
further bookings. Managers are requested to ensure that all team members are
aware of the User Regulations.
Persons using the above
facilities must not hinder the Pitch Attendants whilst they are carrying out
set duties, nor should the Hirer instruct Pitch Attendants to perform other
tasks that are not part of their duties.
Admittance to the All Weather Pitch or Sports Grounds
is on the express conditions that neither The Council, Officers or Servants
shall be held responsible for or liable for any loss, damage or injury whether
to property or person, except for death or personal injury caused by the
negligence of The Council, it’s Officers or Servants.
Aylesbury Vale District
Council will provide a tick sheet for your comments. Please put your team name
at the top of the page together with the number of your allocated pitch and
changing room. It is important that these sheets are filled out as it will
enable us to improve this service.
Grass Pitches: Must be
cancelled at least 2 full working days before your game.
All Weather Pitch (single
bookings): Must be cancelled by Friday 3.00pm before your game
All Weather Pitch (block
bookings): Must be cancelled at least one week prior to the booking.
If you do not cancel your booking within these prescribed notice periods you may be required to pay the hire charge. We will not take any further bookings until all arrears have been paid.
The Council reserves the right
to cancel a booking prior to the commencement of a match. In this case a full
refund will be given
The Council may at any time change the location of a
booking. This may occur if it is considered by The Council that a pitch
requires to be rested. Failure to
rest pitches may render the pitch unplayable for the remainder of the season
Therefore Clubs are requested to co-operate fully when it becomes necessary to
relocate a match.
No children under the age of 10 years shall be allowed
to use he facility unless accompanied by a responsible Adult, Parent or
Guardian.
No animals are allowed in the All Weather Pitch area
other than Guide Dogs.
No persons shall use indecent or offending language;
behave in an indecent or offensive way, or in a manner endangering the safety
and enjoyment of other users. No person shall spit, pollute, contaminate or
foul any facility in the building, nor damage, deface or misuse any part of
the facility in the building. No person shall damage deface or misuse any part
of the facility or equipment. Neither shall they operate radios so as to cause
a nuisance or annoyance.
No person shall smoke in a “NO SMOKING” designated
areas, nor shall they bring intoxicating or alcoholic liquors into the
facility. No crockery or glass bottles shall be taken onto the pitch or into
the changing rooms.
Litter must be deposited in the bins provided.
No person shall use or attempt to make use of the
dressing room reserved for persons of the opposite sex (with exception of
children under the age of 7 years accompanied by a parent or guardian)
Enforcement
Any person offending against the foregoing regulations or whose conduct in the view of The Council is unsatisfactory, may be ejected from the facility, refused further admission and may also be liable for prosecution.
